Selwyn District Council Glentunnel Campground Terms and Conditions

We are glad that you are taking the time to read these terms and conditions (Terms). These Terms are important as they, the information in our booking portal, and our Privacy Policy, set out the legal terms on which you can make your booking at the Glentunnel Campground (Campground).
- Booking Conditions
Bookings
- All bookings must be made by guests 18 years of age or older. Proof of ID may be requested on check-in. People under the age of 18 are not permitted to stay at the Campgroup without being accompanied by a person older than 18.
- Bookings are not transferable to another person unless we approve the transfer at our sole discretion.
- We provide information on the Campground via our website, our social media pages and emails.
Rates, deposits and payment
- There are 2 different rate periods in a year:
- Summer Season: 1 October – 30 April.
- Winter Season: 1 May – 30 September.
- A copy of the current rates can be found at booking portal.
- All bookings require a deposit of one night's accommodation at time of booking. Bookings are only confirmed after we receipt such deposit.
- The remaining balance of the booking must be paid in full 2 days prior to arrival.
- Valid credit or debit card details must be provided for bookings for cabins as security against any charges incurred.
- Rates will be reviewed periodically and may change. When booking in advance from one season to the next, any new rates will apply.
- All accommodation rates are GST inclusive and are in New Zealand dollars. We accept Visa, Mastercard and debit card. Payment by credit card incurs a transaction fee.
- There are no reductions or refunds for early departures or late arrivals.
Check-in and check-out time and requirement
- Check-in time for sites and cabins is 2.00pm. During less busy periods, sites may be available from 11.00am. Please check with the office.
- Check-out time for sites and cabins is no later than 11.00am. Please contact the office if you require a later check-out time. The office might not be able to accommodate your request.
- Campgrounds must be left clear of all vehicles, equipment and rubbish.
Minimum and maximum stays
- Minimum stay periods/rates may apply during weekends, public holidays, school holidays and the “Summer” season.
- Maximum stay on the Campground is 50 days per booking.
Units and campsite
- We aim to place you in your chosen unit or on your preferred campsite but sometimes this is not possible. We also reserve the right to move you to an alternative for operational reasons.
2. Cancellations
2.1 Cancellation by you
- If you cancel your reservation at least 2 days before your arrival date, you will receive a full refund of any payments made.
- If you cancel within 2 days of your arrival rate, there is no refund of your booking.
2.2 Cancellation by us
- If we need to cancel your booking prior to your arrival (for example, due to health and safety reasons), we will inform you by email and you will receive a full refund of any payments made.
- Failure to comply with these Terms may result in cancellation of your booking and a requirement for you and your guests to leave the Campground immediately. Where we cancel your bookings under this clause, no refunds will be given. All guests asked to leave will be added to our “deny list” so will not be able to re-book in the future.
- All criminal behaviour will be reported to the New Zealand Police.
3. Payments and refunds
- Online payments are made via a secure payment platform using a third-party provider.
- International payments will be converted to New Zealand dollars so the amounts charged will fluctuate depending on the exchange rate on the day of booking.
- Any refunded cancellations will be processed in New Zealand dollars at the exchange rate on the completion day. This means there may be a difference between the initial amount charged and the amount refunded. Transaction fees may be incurred by you.
- Refunds will only be made to the original credit or debit card the initial payment was taken from.
- We reserve the right to charge overdue fees for any amounts outstanding after guests have departed.
- We also reserve the right to engage a debt collection agency to recover unpaid accounts and any charges incurred to carry out this action.
- There is no refund if we terminate your booking due to breaking camp rules.
4. Guest Responsibilities and Campground rules
- Guests are entering the Campground at their own risk and are responsible for their property, themselves, pets and their visitors.
- Dogs are allowed but must be under control at all times. All dog owners must clean up after their dogs. Dogs must have been registered with your local Council. No dogs are allowed in the Amenity Block.
- Maximum speed within the Campground is 15kph.
- Antisocial behaviour will not be tolerated.
- No excessive noise is permitted after 10pm and this will be strictly enforced. Christmas and New Years is an exception.
- Rubbish must be placed into the receptacles provided by us.
- Always park at least 1.5m from all site boundaries. Vans and campers must be 3m apart.
- Kitchen and appliances must be left clean and tidy after use.
- No open fires are permitted.
- Generators are permitted between the hours of 9am – 10pm if they do not disturb other users.
- Campers are not permitted to mow their sites.
- No digging of holes, removal or cutting of plants, shrubs or trees is permitted within the Campground.
- No structures can be erected on the Campground. Windbreaks must be recognised as camping equipment.
- All vehicles must have current Warrant of Fitness /Registration and Electrical WOF if applicable.
- Dump station is for the exclusive use of campers.
- Any damage to facilities must be immediately reported to the caretaker.
5. Alcohol
- Excessive drinking is not permitted. Guests behaving irresponsibly and causing disturbances may be required to leave the Campground immediately. The reservation will be cancelled with no refund.
- Conduct
- Please always be considerate to other guests and Campground staff.
- Loud parties, illegal activity and offensive behaviour will not be tolerated at any hour.
- Please report a disturbance immediately so the situation can be addressed quickly and appropriately. During opening hours, please contact the Camp Office. During after hours, please notify the caretaker at the office or ring the office doorbell if unattended.
- If you are uncomfortable with any other guests’ behaviour, please contact the office to share your concerns.
- You must not engage in any unauthorised commercial activity in the Campground.
- Damage / Cleaning
- Please notify the office about any breakage or damage to Campground property as soon as possible.
- Please also notify the office about any maintenance or cleaning issues so they can be rectified in a timely manner.
- We reserve the right to recover costs of damage you cause to the Campground’s assets, property or accommodation.
- The Campground and facilities must be maintained and left in a clean and tidy condition after use.
- We respectfully request that food with extreme odour is not prepared or cooked in the units or public kitchens.
- Health & Safety
- Guests within the Campground are required to comply with their duties and obligations under the Health and Safety at Work Act 2015, as amended.
- Guests must ensure that they do not expose themselves, their children or their visitors to health and safety risks that are under the guest’s control.
- Please notify the Campground staff as soon as possible of any identified risks to the health and safety of any person in the Campground.
- First Aid
- There are fire extinguishers situated in the Amenity Block and Office. There is an Automatic External Defibrillator (AED) in the kitchen. Guests must familiarise themselves with such items’ locations and with the evacuation points signage.
- Food / Fridge
- Please ensure items are marked clearly with your name and departure date to help to manage any risks, but storing food in communal kitchens is at your own risk.
- Force Majeure
- We will not be liable for any delay or non-performance of our obligations arising from any cause outside our control including but not limited to acts of God such as floods, storms, and earthquakes, also fires, explosions, warfare, strikes or any other cause beyond our reasonable control.
- Keys
- On departure, please leave cabin keys in assigned lock boxes. If you don’t, we may charge you a key replacement fee.
- Laundry
- All washing machines and dryers operate via coins. Coins are available at the Glentunnel Store.
- Rubbish & Recycling
- Please use the recycling and rubbish bins provided around the Campground. We appreciate you sorting bottles, paper, cans, etc. from your daily rubbish and placing everything in the appropriate bins.
- Guests on the Campground must take all their rubbish to the bins on the day of departure; nothing is to be left on site.
- Security cameras
- We are committed to the privacy, confidentiality, and security of personal information entrusted to us. Please review our current Privacy Policy, which also governs your booking and is incorporated by reference into these Terms, to understand our practices.
- Security cameras are operational 24/7 for safety reasons. You agree to be filmed as part of this process.
- Showers
- Campground showers are operated via coins. Coins are available at the Glentunnel Store.
- Water
- The water from all taps within the Campground is safe to drink.
- Please be mindful of your water use for conservational purposes.
- Waste Water
- Campervans, motorhomes and caravans must have their own waste container.
- Wastewater and chemical toilets must be emptied in the designated dump station.
- Our Liability
- Without limiting your rights under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986, neither us nor any of our staff, employees or contractors are liable for any loss, damage or physical or mental injury arising out of or in connection with your use of the Campground except to the extent that we have caused or contributed to such loss or damage.
- To the maximum extent permitted by law, in the event we are liable to you for any reason, our liability to you is limited to a maximum amount equal to the value of the rates paid by you.
- Personal injury in New Zealand is covered by the Accident Compensation Act 2001.
- Your Liability
- You indemnify us in respect of all costs (including legal costs), losses, damage and expenses suffered or incurred by us and any other person claiming through us as a direct or indirect consequence of any unlawful, negligent, tortuous, criminal, reckless or dishonest errors, acts or omission of you in relation to your use of the Campground and exercise of your rights under these Terms. This indemnity survives the termination or cancellation of these Terms.
- Variations to these Terms
- We may amend or change these Terms from time to time. If you have a booking with us, you will be notified of any such changes via email.
- Assignment
- We may assign or transfer any of our rights or obligations relating to your membership to a third party upon writing notification by you.
